Write a client follow-up without the notetaker's mistake
- For Sales and customer success
- You practice Keeping the AI to your sources
- Time about 5 minutes
About this exercise
Write the follow-up email to Fernvale Clinics after today's demo, using the AI notetaker's output and the transcript snippet. Start with a 'Subject:' line, then a short thanks, then exactly 3 numbered next steps written as 'Owner - action - date', and sign off as Jordan. Plain text, under 130 words. Only promise what was actually said on the call.
Common mistakes when you ask AI for this
- Trusting the notetaker. The action list says 20% discount, and the AI promises it to the client. Try: Add: "The transcript wins: no discount was promised, only a check with my manager by Friday."
- No subject line. The AI often starts with 'Hi Amara' and leaves the subject for you. Try: Add: "First line: Subject: ..."
- Vague next steps. The AI writes 'we'll be in touch' instead of who does what by when. Try: Show the shape: "1. Owner - action - date"
- Markdown email. The AI bolds headings and adds a signature block with placeholders. Try: Add: "Plain text, sign off as Jordan."
- Trusting the AI to count words. AI is bad at counting words, so a total word cap usually lands over. Try: Cap the parts: "thanks under 25 words, each step under 12 words."
What a strong prompt includes
- Checks the transcript
- Handles the discount
- Shows the next-step shape
- Asks for a subject line
- Caps the length
