Turn first-call notes into a four-heading memo
- For Sales and customer success
- You practice Asking for a format you can use
- Time about 5 minutes
- Level Intermediate
About this exercise
Your manager wants a quick memo on the Halvorsen Tile call. Use exactly these four headings in order: What they do, The problem, Budget and timing, Next step. Write one sentence under each heading. The Budget and timing sentence must read "Budget: Not discussed. Timing: [date]." The Next step sentence names who does what by when and who must attend the demo. Keep the whole memo under 90 words.
Common mistakes when you ask AI for this
- Missing headings. The AI invents its own sections or adds an intro. Try: Add: "Use exactly these headings in order: What they do, The problem, Budget and timing, Next step."
- Taking the first timing. The AI uses "Q1" and misses the later Dec 15 correction. Try: Add: "Timing: the later Dec 15 date replaces Q1."
- Guessing the budget. The AI fills silence with a made-up figure or approver. Try: Add: "Write: Budget: Not discussed. Timing: [date]."
- Dropping the attendee. The AI forgets Anders or says the QuickBooks sync is confirmed. Try: Add: "Name Anders as a required attendee. Do not say the QuickBooks sync is confirmed."
- Memo that runs long. The AI writes paragraphs under each heading. Try: Add: "One sentence per heading, under 90 words total. Keep every sentence under 18 words."
