Calculate a refund on a cancelled annual plan using the policy
- For Accountants
- You practice Setting limits and rules
- Time about 5 minutes
- Level Intermediate
About this exercise
You're answering a refund request from a customer who cancelled an annual plan. Write a prompt for plain text with lines starting "Months used:", "Months unused:", "Refund:", "Customer asked for:", "Difference:" and "Approval:". Use the refund policy exactly, not the customer's method. Show the math. The Approval line names who approves under the policy. Under 100 words.
Common mistakes when you ask AI for this
- Using partial months. The AI follows the customer's 5.4 months. Try: Say: "Months unused are full months after the cancellation month."
- Wrong approver. The AI names the AR manager. Try: Add: "Over $500 = controller; $500 or less = AR manager."
- Skipping the comparison. The AI gives the refund and not the gap. Try: Add: "Show what the customer asked for and the difference."
- Markdown extras. The AI adds bold labels, headings and a closing note. Try: Say: "Plain text, no bold. Output only the lines asked for."
- Trusting the AI to count words. AI is bad at counting and runs past word limits. Try: Ask for fewer words than the real cap and keep each part short.
What a strong prompt includes
- Names the six lines
- States the policy
- Applies the approver rule
- Asks for the math
- Caps length
