Turn call notes into a five-field CRM risk update
- For Customer success managers
- You practice Asking for a format you can use
- Time about 5 minutes
- Level Beginner
About this exercise
Write the CRM update with exactly five lines starting "Risk level:", "Reason:", "Next step:", "Owner:" and "Date:". Risk level is exactly one of Low, Medium or High. Plain text, under 50 words. Use only the call notes.
Common mistakes when you ask AI for this
- Rating Low. The usage is steady so the AI rates Low. Try: Say: "Use the risk guide: an open budget question = Medium."
- Wrong next step or date. The AI writes 'follow up' with no date. Try: Say: "Next step: send the quote with a 3-year option by Nov 13."
- Wrong layout. The AI writes a paragraph. Try: Name the five labels.
- Getting markdown back. AI adds bold and headings by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
- Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands well over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".
What a strong prompt includes
- Asks for plain text
- Sets a length limit
- Names the labels
- Limits the risk values
