Send kickoff prework with an owner and date on every item

  • For Customer success managers
  • You practice Asking for a format you can use
  • Time about 5 minutes
  • Level Beginner

About this exercise

Write the pre-kickoff email to the customer. Line 1 is "Subject:" with 8 words or fewer. Then one sentence with the kickoff date and time. Then three prework lines, each starting "[ ]" and formatted "Item - owner - due date". Last line exactly "Mia, Customer Success". Plain text, under 100 words. Only customer tasks.

Common mistakes when you ask AI for this

  • Adding internal tasks. The AI includes our own to-dos, such as the legal addendum. Try: Say: "Customer tasks only. Leave out internal items."
  • Dropping owners or dates. The AI lists tasks without who and when. Try: Say: "Format each line: Item - owner - due date."
  • Missing the exact lines. The AI writes a long subject and signs 'Best'. Try: Give the subject limit, the kickoff sentence and the exact last line.
  • Getting markdown back. AI adds bold and headings by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
  • Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands well over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".

What a strong prompt includes

  • Asks for plain text
  • Sets a length limit
  • Sets the line format
  • Leaves out internal items
