Follow up with users who missed training
- For Customer success managers
- You practice Asking for a format you can use
- Time about 5 minutes
- Level Beginner
About this exercise
Write the follow-up email to people who missed training. Line 1 is "Subject:" with 6 words or fewer. Use {{first_name}} and no other merge field. Give the recording placeholder [recording link] once and two make-up sessions as lines starting "-". Plain text, under 70 words. Do not mention attendance numbers.
Common mistakes when you ask AI for this
- Mentioning attendance. The CSM comment pushes the AI to mention who showed up. Try: Add: "Do not mention attendance numbers."
- Wrong merge fields. The AI uses {{company}} or {{trainer}} because they are listed. Try: Say: "Use {{first_name}} only."
- Missing session details. The AI writes 'we have more sessions'. Try: Say: "List both make-up sessions with day, date, time and CT."
- Getting markdown back. AI adds bold and headings by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
- Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands well over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".
What a strong prompt includes

- Sets a length limit
