Explain a failed delivery attempt and offer depot pickup
- For Customer support teams
- You practice Setting limits and rules
- Time about 5 minutes
- Level Beginner
About this exercise
Reply to Joss. Start with "Hi Joss,", make the first sentence the delivery status with the date and time of the attempt and the retry date, then give the depot pickup option with address and hours, and end with "Tia". Do not blame the customer or the carrier. Plain text, under 60 words.
Common mistakes when you ask AI for this
- Arguing about being home. The AI says 'the driver reports you were not available'. Try: Say: "Don't blame the customer or the carrier."
- Burying the status. The AI starts with an apology paragraph. Try: Say: "The first sentence is the status with date, time and retry date."
- Leaving out pickup details. The AI says 'you can collect it' with no address or hours. Try: Say: "Give the depot address and hours."
- Getting markdown back. AI adds bold and headings by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
- Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands well over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".
What a strong prompt includes
- Gives the greeting and sign-off
- Orders the content
- Mentions the depot
- Asks for plain text
- Sets a length limit
