Write a post-incident memo that uses only validated numbers
- For Operations and supply chain
- You practice Keeping the AI to your sources
- Time about 5 minutes
- Level Advanced
About this exercise
Write a memo with exactly three headings on their own lines, "What happened", "Impact" and "What changes", each followed by one short paragraph. Use only validated facts: the support team's deduplicated count, the cause confirmed in the review, and only the changes that were approved. Plain text with no # symbols, under 130 words.
Common mistakes when you ask AI for this
- Using the raw ticket count. The AI says 112 customers were affected. Try: Say: "Impact is different customers: 112 minus 28 repeats."
- Repeating the draft cause. The AI mentions the expired certificate. Try: Say: "Use the confirmed cause only."
- Including the unapproved idea. The AI lists all three changes. Try: Say: "Only approved changes."
- Missing the headings. The AI uses markdown headings or merges sections. Try: Name the three headings on their own lines.
- Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands well over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".
What a strong prompt includes
- Names the three headings
- Uses validated facts
- Says to deduplicate
- Asks for plain text
- Sets a length limit
