Place two spare agents on the queues that are short
- For Managers and team leads
- You practice Setting limits and rules
- Time about 5 minutes
- Level Advanced
About this exercise
Start with the line "STAFFING MOVE - Mon 14:00". For each queue work out agents needed (tickets per hour divided by what one agent handles, rounded up) and compare it with the agents it has. Then output three lines "Billing: +N", "Tech: +N" and "General: +N" and a last line "Unused: N", giving each short queue the agents it lacks, up to the 2 spare agents. Plain text, under 50 words.
Common mistakes when you ask AI for this
- Giving Tech two. The AI follows the lead's request. Try: Say: "Only the shortfall counts."
- Not rounding up. The AI computes Tech as 6 but Billing as 5.0 and gets confused. Try: Say: "Round needed agents up."
- Missing the title or last line. The AI skips them. Try: Quote the title and last line.
- Getting markdown back. AI adds bold and headings by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
- Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands well over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".
What a strong prompt includes
- Quotes the title
- Defines needed agents
- Limits to the shortfall
- Asks for plain text
- Sets a length limit
