Announce a support hours change to the team in a fixed layout
- For Managers and team leads
- You practice Asking for a format you can use
- Time about 5 minutes
- Level Beginner
About this exercise
Write the team email. First line exactly "Subject: Support hours change from Nov 23", then three lines starting "What changes:", "What stays the same:" and "Questions to:", then the line "Lena". Use only the facts given. Plain text, under 75 words.
Common mistakes when you ask AI for this
- Repeating the rumor. The AI addresses the weekend-cut rumor. Try: Say: "Don't mention the rumor."
- Wrong contact. The AI sends questions to Lena. Try: Say: "Questions go to Priya."
- Missing exact lines. The AI writes its own subject. Try: Quote the subject and the last line.
- Getting markdown back. AI adds bold and headings by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
- Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands well over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".
What a strong prompt includes

- Names the three labels
- Says to use only the facts
- Asks for plain text
