Fill in a pivot table setup for ticket volume
- For Operations and supply chain
- You practice Asking for a format you can use
- Time about 5 minutes
- Level Beginner
About this exercise
Your support lead wants a pivot table that shows how many tickets each team closed per week, by priority. Write exactly these 4 labeled lines in plain text, under 60 words: Rows, Columns, Values, Filter. Use the exact column names from the sheet, and say Values counts tickets rather than summing anything.
Common mistakes when you ask AI for this
- Writing click-by-click steps. The AI gives a tutorial of menu clicks instead of the setup. Try: Add: "Exactly 4 lines: Rows, Columns, Values, Filter. No steps."
- Summing minutes. The AI puts Minutes to resolve in Values and sums it. Try: Add: "Values is a count of Ticket ID, not a sum."
- Counting open tickets. Nothing in the sheet stops open tickets from being counted. Try: Add: "Filter on Status = Closed."
- Leaving the format to chance. The AI picks its own length and layout unless told the exact shape. Try: Add: "Plain text, no bold or headings."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example "each line under 15 words."
What a strong prompt includes
- Names the four slots
- Uses exact names
- Says count, not sum
- Filters to closed
- Caps length
