About this exercise

Write an all-staff email in plain text, under 85 words. First line exactly: Subject: Office closed Dec 24 to Jan 1. State the closing and reopening dates, say that pay dates are unchanged, and give the one urgent contact. Use the latest dates in the notes. Do not mention the earlier plan or the facilities work. End with the line: Happy holidays.

Common mistakes when you ask AI for this

  • Using the old reopening date. The AI says Jan 5. Try: Say: "Use the latest dates in the notes."
  • Mentioning facilities work. The AI adds the repainting. Try: Say: "Do not mention the facilities work."
  • No urgent contact. The AI says "contact your manager". Try: Say: "Give the one urgent contact."
  • Missing exact lines. The AI writes its own subject and ending. Try: Say: "First and last lines exactly as given."
  • Markdown. The AI bolds dates. Try: Say: "Plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 15 words."
