- For Project managers

- Time about 5 minutes
- Level Beginner
About this exercise
A colleague's RAG report may have wrong colors. Using the rule below, write one line per workstream in plain text: Name - correct color - keep or change - reason under 12 words. Rule: Red = a milestone date has been missed, or the budget is more than 10% over; Amber = a date or budget is at risk but nothing missed; Green = on track. Exactly 4 lines and use only the facts in the notes.
Common mistakes when you ask AI for this
- Trusting the draft. The AI keeps Sam's colors. Try: Say: "Check each color against the rule and the tracker facts."
- Missing the budget rule. The AI misses the data warehouse overspend. Try: Say: "Red also means budget more than 10% over."
- Using feelings. The AI keeps Training Red because of stress. Try: Say: "Use facts only, not feelings."
- Wrong line format. The AI writes paragraphs. Try: Say: "Format each line: 1. Name - color - keep/change - reason."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each line: "each line under 25 words."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 12 words."
