Size recruiter capacity from active requisitions and compare to staff
- For FP&A and financial analysts
- You practice Setting limits and rules
- Time about 5 minutes
- Level Intermediate
About this exercise
You're sizing recruiting capacity for the head of People. Write a prompt for plain text with lines starting "Active reqs:", "Recruiters needed:", "Current capacity:", "Gap:" and "Not counted:". Count only active requisitions (leave out those on hold). Round recruiters needed up to the next half recruiter. Count part-time recruiters at their FTE share. Show the math. Under 80 words.
Common mistakes when you ask AI for this
- Counting held requisitions. The AI uses 52 and gets 6.5. Try: Say: "Count active requisitions only: 52 minus 10 on hold."
- Counting the contractor. The AI adds the sourcer to capacity. Try: Add: "The sourcer does not own requisitions: not counted."
- Wrong rounding. The AI rounds to 6. Try: Add: "Round up to the next half recruiter."
- Markdown extras. The AI adds bold labels, headings and a closing note. Try: Say: "Plain text, no bold. Output only the lines asked for."
- Trusting the AI to count words. AI is bad at counting and runs past word limits. Try: Ask for fewer words than the real cap and keep each part short.
What a strong prompt includes
- Names the five lines
- Excludes held reqs
- Counts part-time as FTE
- Sets the rounding
- Caps length
