Turn discovery call notes into a recap a client understands

Practice: Saying who it's for. About 5 minutes.

About this exercise

You just had a discovery call with Marisol, who owns a dog grooming shop and told you she doesn't understand tech terms. Send her a recap email: under 100 words, plain text, with the budget you agreed at the end of the call and exactly 3 numbered next steps that each say who does what by when. Use plain words, no tech jargon like SEO, CMS, DNS, or responsive. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Not saying who it's for. The AI copies your tech list into the email, and Marisol gets "we'll point DNS and set up a CMS." Try: Add: "She isn't technical. Use plain words, no terms like SEO, CMS, or DNS."
  • Using the first budget. The notes mention $4k first. The AI may use it, or both numbers. Try: Add: "Use the budget we agreed at the end: $3,500."
  • Vague next steps. AI writes "we'll stay in touch on next steps" instead of who does what by when. Try: Be exact: "Exactly 3 numbered next steps, each with who and the date."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 100 words" and it often lands well over. Try: Cap each part instead, like "each line under 15 words," so the total lands near 80.
  • Formatting like a report. AI adds bold headings like **Next Steps**, which look strange in a short email. Try: Add: "Plain text, no bold or headings."

What a strong prompt includes

  • Says who it's for
  • Uses the agreed budget
  • Asks for 3 dated steps
  • Sets a size limit
  • Asks for plain text
