- For Managers and team leads
- You practice Getting the tone right
- Time about 5 minutes
- Level Beginner
About this exercise
Rewrite the manager's message in plain text, under 60 words, so it is neutral and factual. Keep the deadline (day and time) and the steps. Remove sarcasm, blame and anything about specific people. First line exactly: Reminder: timesheets due Friday at noon. Last line exactly: Thanks, Priya. HR reviews before sending.
Common mistakes when you ask AI for this
- Naming people. The AI keeps Marcus and Elena. Try: Say: "Remove anything about specific people."
- Keeping the threat. The AI keeps 'explain it to me'. Try: Say: "Do not say anyone must explain a late submission."
- Losing the steps. The AI shortens to 'please submit on time'. Try: Say: "Keep the deadline and all the steps."
- Exact lines. The AI writes its own subject and sign-off. Try: Say: "First and last lines exactly as given."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 15 words."
- Markdown. The AI bolds words or adds headings. Try: Say: "Plain text, no bold, no headings."
