Pull action items out of a nurse managers' meeting
Practice: Keeping the AI to your sources. About 5 minutes.
About this exercise
You took notes at the nurse managers' meeting and need the action items for the shared tracker. Write exactly 4 numbered lines in the form "Owner - task - due date", sorted by due date, plain text, under 60 words. Include only tasks someone agreed to do, use the final owner for any task that changed hands, and skip discussion and ideas nobody took on. Write a prompt that gets you exactly that.
Common mistakes when you ask AI for this
- No fixed shape. The AI writes full meeting minutes with discussion and headings. Try: Be exact: "Exactly 4 numbered lines: Owner - task - due date."
- Trusting the AI to count words. AI is bad at counting. Ask for "under 60 words" and it often lands well over. Try: Cap each part instead: "each task under 8 words."
- Keeping meeting order. The AI lists tasks in the order they came up, so the Nov 10 deadline lands last. Try: Add: "Sort by due date, earliest first."
- Missing the handoff. Pam is named first for the room booking; the change comes later. Try: Add: "Joy books the room (Pam is out)."
- Adding extras. The AI adds an 'Unassigned' list and the next meeting date. Try: Add: "Only the 4 lines, as Owner - task - due date."
What a strong prompt includes
- Sets the number of items
- Uses the final owner
- Skips ideas
- Sorts by due date
- Sets a word limit
