Build a gala run of show after a speaker swap
Practice: Keeping the AI to your sources. About 5 minutes.
About this exercise
You're the event lead and need the gala's run of show for volunteers' clipboards. Write exactly 6 numbered lines in time order, each in the form "Time - what happens - who", plain text, under 70 words. Apply the speaker swap, keep the auction close at its fixed time, and include only program items (not catering or setup notes). Write a prompt that gets you exactly that.
Common mistakes when you ask AI for this
- No fixed shape. The AI writes a full timeline with setup, catering and notes. Try: Be exact: "Exactly 6 numbered lines: Time - what happens - who."
- Trusting the AI to count words. AI is bad at counting. Ask for "under 70 words" and it often lands well over. Try: Cap each part instead: "each line under 11 words."
- Including non-program items. The AI keeps dinner, doors and setup in the list. Try: Add: "Program items only: welcome, keynote, student speaker, auction close, paddle raise, close."
- Missing the swap. The draft lists the old order; the update comes after. Try: Add: "Dr. Fry at 7:30, Jamal at 7:45."
What a strong prompt includes
- Applies the swap
- Program items only
- Sets the number of lines
- Shows the line shape
- Sets a word limit
