About this exercise

Assign one backup for each duty, in the order listed, and output a table with the header Duty | Primary | Backup. Rules: the backup is never the primary; Payroll and Month-end close backups must be certified for that duty; each person can be a backup for only one duty; for the other duties, take the first available person alphabetically. If no valid backup exists, write "None" and say why in the table. Then add the exact line "Gaps:" followed by the number of duties without a backup. Plain text, under 90 words.

Common mistakes when you ask AI for this

  • Reusing a backup. The AI makes Cy cover both payroll and close. Try: Say: "Each person can be a backup for only one duty."
  • Using an ineligible person. The AI picks Eli. Try: Say: "Only people on the team list are eligible."
  • Ignoring certification. The AI picks a non-certified backup for close. Try: Say: "Payroll and close backups must be certified."
  • Skipping the gap. The AI fills the close with someone. Try: Say: "If no valid backup exists, write None and say why."
  • Wrong table or count. The AI misses the Gaps line. Try: Say: "Exactly this header, four rows, then the Gaps: line."
  • Markdown. The AI bolds None. Try: Say: "Plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 15 words."
