About this exercise
You are Sam, a manager. Write a follow-up email to Maya from your notes. The first line is the subject, exactly: Subject: Follow-ups from Tuesday. Then list her two action items and your two as dash bullets, each with its date. End with the exact line: Next 1:1: Thursday, May 15. Plain text, under 90 words, and leave out your private notes.
Common mistakes when you ask AI for this
- Wrong subject or ending. The AI invents its own subject and a friendly sign-off. Try: Say: "First line exactly Subject: Follow-ups from Tuesday. Last line exactly Next 1:1: Thursday, May 15."
- Missing or wrong bullets. The AI blends the actions into paragraphs or drops a date. Try: Say: "Four dash bullets, two for Maya and two for me, each with its date."
- Leaking private notes. The AI treats every line of the notes as usable. Try: Say: "Leave out my private notes and anything about her workload."
- Markdown. The AI bolds names and dates. Try: Say: "Plain text, no bold."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 15 words."
What a strong prompt includes
- Gives the exact subject
- Names the new next-1:1 date
- Asks for four dash bullets
- Keeps private notes out
- Plain text
