Turn retro suggestions into six measurable team rules
- For Managers and team leads
- You practice Setting limits and rules
- Time about 5 minutes
- Level Intermediate
About this exercise
Write the team's working agreement as exactly 6 numbered rules in plain text, formatted like "1. Verb phrase with a number or time." Each rule starts with a verb, contains a number or a time, and is under 14 words. Use only suggestions that can be checked, and where the notes show a vote, use the winning number. No intro or notes.
Common mistakes when you ask AI for this
- Using the losing number. The AI picks 1 hour from the first line. Try: Say: "Where the notes show a vote, use the winning number."
- Including vague rules. The AI keeps "be nice". Try: Say: "Use only suggestions that can be checked, with a number or a time."
- Including a rejected idea. The AI adds camera always on. Try: Say: "Leave out ideas that were voted down or never voted."
- Wrong shape. The AI writes paragraphs with a title. Try: Say: "Exactly 6 numbered rules like 1. Verb phrase with a number or time."
- Markdown. The AI bolds the verbs. Try: Say: "Plain text."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 15 words."
What a strong prompt includes
- Fixes the count and format
- Requires a verb and a number
- Uses the vote result
- Caps rule length
- Excludes vague ones
