Prep a 1:1 agenda your team member will see

Practice: Saying who it's for. About 5 minutes.

About this exercise

You have a 1:1 with Nadia, a designer on your team, and the agenda goes in the calendar invite she'll see. You want exactly 3 numbered lines, one per topic, each with one open question to ask her, under 70 words in total, plain text. Her own request goes first, nothing private from your notes can appear, and some of your notes are out of date, so use the latest update on each topic.

Common mistakes when you ask AI for this

  • Asking for "an agenda". The AI builds a long agenda with headings, time slots and sub-bullets. Try: Be exact: "Exactly 3 numbered lines, one topic and one question each. Plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead: "Each line under 18 words."
  • Not saying who will read it. The AI doesn't know Nadia sees the invite, so it can pull in your private notes. Try: Add: "Nadia will read this. Leave out everything under 'Private'."
  • Leading with your own topics. The AI follows the order of your notes or puts your projects first. Try: Add: "Put Nadia's on-call request first."
  • Using the outdated status. The AI may repeat 'pending budget' and miss the update further down. Try: Add: "Use the latest update on each topic."

What a strong prompt includes

  • Says who will read it
  • Puts her request first
  • Limits the topics
  • Leaves out private notes
