Confirm a changed dock appointment in six exact lines

  • For Operations and supply chain
  • You practice Asking for a format you can use
  • Time about 5 minutes
  • Level Beginner

About this exercise

A carrier changed its dock appointment by email. Write a prompt for plain text where the first line is exactly "APPOINTMENT UPDATE - Delmar Freight", followed by exactly five lines starting "When:", "Door:", "Bring:", "Trailer:" and "Changed from:". Use the newest email only. Under 60 words.

Common mistakes when you ask AI for this

  • Using the first email. The AI confirms Tuesday 9:00 and door 4. Try: Say: "Use the newest email for the first four lines."
  • Missing the paper rule. The AI says 'bring the BOL' only. Try: Say: "Bring: BOL and PO number 7741, on paper, not photos."
  • Wrong structure. The AI writes an email reply. Try: Give the exact first line and the five labels.
  • Getting markdown back. AI adds bold, headings and bullets by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
  • Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".

What a strong prompt includes

  • Gives the exact first line
  • Quotes the five labels
  • Says which email wins
  • Includes the paper rule
  • Asks for plain text
