Turn cycle count notes into a checklist a counter can tick off

  • For Operations and supply chain
  • You practice Asking for a format you can use
  • Time about 5 minutes
  • Level Beginner

About this exercise

New counters need a checklist, not a paragraph. Write a prompt for a checklist of at most 8 items, each line starting "- [ ]" and beginning with a verb. Keep the order the work happens in. Include only steps that apply to every count and leave out anything about one particular zone. Plain text, under 110 words.

Common mistakes when you ask AI for this

  • Including one-off notes. The AI keeps the Zone C and broken-scanner remarks. Try: Say: "Leave out anything about one particular zone or one piece of equipment."
  • Dropping the variance rule. The AI merges steps and loses the recount at 5 units. Try: Say: "Include the recount rule for variances of 5 units or more."
  • Plain bullets. The AI uses - without the box and skips the verbs. Try: Show the format: "- [ ] Print the count sheet".
  • Getting markdown back. AI adds bold, headings and bullets by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
  • Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".

What a strong prompt includes

  • Shows the checkbox format
  • Caps the items
  • Sets the order
  • Says what to leave out
  • Asks for plain text
