Flag count variances in a CSV block without adjusting stock
- For Operations and supply chain
- You practice Asking for a format you can use
- Time about 5 minutes
- Level Intermediate
About this exercise
After Friday's cycle count you need a CSV block to paste into the review sheet. Write a prompt for exactly one code block with the header sku, system, counted, variance, status and one row per SKU in the order listed. Variance is counted minus system, and use the recount where one exists. Status is REVIEW if the variance is 5 units or more in either direction, otherwise OK. After the block add one line, "Review count: N". Flag only; do not adjust stock.
Common mistakes when you ask AI for this
- Using the first count. The AI uses 61 for D-3301 because it was listed first. Try: Say: "Where a recount exists, use the recount."
- Wrong threshold or sign. The AI flags only positive variances or flips counted minus system. Try: Say: "variance = counted minus system; REVIEW if 5 or more up or down."
- Wrong header or row order. The AI renames columns or sorts the rows. Try: Quote the header and say "in the order listed".
- Extra text around the code. The AI adds explanations, extra blocks or comments around the output. Try: Say "exactly one code block, nothing else" and cap the rows.
What a strong prompt includes
- Quotes the header
- Defines variance
- Uses the recount
- Gives the REVIEW threshold
- Asks for one code block
