Fill a five-field shift handoff from messy end-of-shift notes
- For Operations and supply chain
- You practice Asking for a format you can use
- Time about 5 minutes
- Level Beginner
About this exercise
Dee is going home and the next supervisor needs a clean handoff. Write a prompt that fills a template with exactly five lines starting "Line status:", "Safety:", "Open issues:", "Needs a decision:" and "Next shift first task:". Leave out anything that isn't about the line or the people on it. Plain text, under 115 words.
Common mistakes when you ask AI for this
- Including housekeeping. The AI keeps the fridge and tape cases because they are in the notes. Try: Say: "Leave out housekeeping and anything not about the line."
- Losing the safety item. The AI buries the forklift tag-out in a paragraph. Try: Say: "Safety: must name any equipment tagged out."
- Wrong labels. The AI invents its own headings. Try: Quote the five labels in order.
- Getting markdown back. AI adds bold, headings and bullets by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
- Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".
What a strong prompt includes
- Quotes the five labels
- Says what to leave out
- Asks to keep key numbers
- Says plain text, no intro
- Asks for plain text
