- For Operations and supply chain

- Time about 5 minutes
- Level Beginner
About this exercise
Write a prompt that fills a vendor return request with exactly eight lines starting "PO:", "Part:", "Quantity affected:", "Problem:", "Photos:", "Packing slip:", "Requested action:" and "Vendor RMA number:". Use only the email. If a field is not in the email, write MISSING. Plain text, under 90 words.
Common mistakes when you ask AI for this
- Inventing an RMA number. The AI makes up a number to complete the form. Try: Say: "If a field is not in the email, write MISSING. Never invent an RMA number."
- Claiming all hoses are bad. The AI says 20 hoses are cracked. Try: Say: "Say how many of how many and that the rest were not checked."
- Wrong lines. The AI writes an email. Try: Quote the eight labels in order.
- Getting markdown back. AI adds bold, headings and bullets by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
- Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".
What a strong prompt includes
- Quotes the labels
- Says to write MISSING
- Bans inventing
- Asks for the 4 of 20 detail
- Asks for plain text
