Explain a travel expense policy change to staff in 3 sentences
Practice: Saying who it's for. About 5 minutes.
About this exercise
Finance updated the travel expense policy, and the memo is long and full of accounting detail. You're writing the all-staff Slack post: at most 3 sentences, plain text, with what changes for travelers first. Use the corrected meal per diem, and leave out the accounting-team details. Write a prompt that gets you exactly that.
Common mistakes when you ask AI for this
- Missing the correction. $65 is in the main list. Try: Add: "Use the corrected $70 per diem."
- Forgetting who reads it. The AI includes GL codes and workflows. Try: Add: "For all staff who travel. Skip accounting-team details."
- Dropping key rules. Squeezed for space, the AI cuts the 30-day deadline. Try: Add: "Include the $25 receipt rule and the 30-day deadline."
- Asking for a summary. The AI writes bullets with headings. Try: Be exact: "At most 3 sentences, plain text."
What a strong prompt includes
- Uses the correction
- Says who reads it
- Skips accounting details
- Limits the sentences
- Asks for plain text
