Build a gala run of show for volunteers without donor notes
Practice: Saying who it's for. About 5 minutes.
About this exercise
You're the events coordinator for a nonprofit gala and need a run of show for the volunteer team. You want exactly 6 numbered lines in time order, each as time - what happens - volunteer lead, under 70 words, plain text. Use the change that moved the auction before dinner, and leave out the private donor notes. Write a prompt that gets you exactly that.
Common mistakes when you ask AI for this
- Using the draft times. The draft schedule is the clearest list, so the AI keeps it. Try: Add: "Use the committee's change: live auction 6:45, dinner 7:15, program 8:00."
- Leaking donor notes. The AI includes table assignments and pledges. Try: Add: "This goes to volunteers. Leave out the private donor notes."
- Dropping the leads. The AI lists times and events without names. Try: Add: "Each line: time - what happens - volunteer lead."
- Letting the AI pick the layout. The AI writes a table with notes. Try: Be exact: "Exactly 6 numbered lines, plain text."
- Trusting the AI to count words. AI is bad at counting. Ask for "under 70 words" and it often lands well over. Try: Cap each part instead: "each line under 8 words."
What a strong prompt includes
- Says how many lines
- Uses the change
- Hides donor notes
- Says who reads it
- Sets a word limit
