Summarize a program report for the board with corrected numbers

Practice: Catching mistakes and made-up facts. About 5 minutes.

About this exercise

You're the program director at an adult literacy nonprofit, and the board wants the quarter's results before Thursday's meeting. You want at most 3 bullets under 60 words, plain text, each comparing a result to its goal. One number in the report double-counted people, so use the corrected figure, and leave out the anecdotes. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Missing the data note. The 138 enrollment number is in the results, and the fix is in a note below. Try: Add: "Use the corrected enrollment count from the data note."
  • Dropping the goals. The AI reports results alone, so the board can't tell what was met. Try: Add: "Compare each result to its goal."
  • Including stories. The AI likes to add a human touch, but the board asked for numbers. Try: Add: "Skip the stories and next-quarter plans."
  • Not limiting the bullets. The AI writes a report with headings. Try: Be exact: "At most 3 bullets, plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 60 words" and it often lands well over. Try: Cap each part instead: "each line under 14 words."

What a strong prompt includes

  • Limits the bullets
  • Compares to goals
  • Uses the correction
  • Skips stories
  • Says who reads it
