Brief the front desk on a new visitor policy in 3 sentences
Practice: Saying who it's for. About 5 minutes.
About this exercise
Facilities sent a long thread about the new building visitor policy, and your front desk team needs the short version on a sticky note. You want at most 3 sentences, plain text, starting with what changes on Monday. Use the final rule from the thread (contractors were added later), and skip the background on why the policy changed. Write a prompt that gets you exactly that.
Common mistakes when you ask AI for this
- Missing the later rule. The contractor rule came in a reply, so the AI may leave it out. Try: Add: "Include the contractor rule from later in the thread."
- Starting with the backstory. The AI follows the email and opens with the theft. Try: Add: "Start with what changes Monday. Skip the background."
- Forgetting who reads it. The AI writes for all staff instead of what the front desk does. Try: Add: "Write it for the front desk team."
- Asking for a summary. The AI writes bullets with headings. Try: Be exact: "At most 3 sentences, plain text."
