Hand off a client account to a new rep in 4 bullets
Practice: Saying who it's for. About 5 minutes.
About this exercise
You're moving to a new territory and handing the Greystone Clinics account to your teammate Leo. He wants at most 4 bullets under 80 words, plain text, with the next step and its date as the first bullet. Name the client's current main contact (the old one left the company), and leave out the personal gossip from the thread. Write a prompt that gets you exactly that.
Common mistakes when you ask AI for this
- Telling the story in order. The AI walks through the thread by date, so the next step ends up last. Try: Add: "First bullet: the next step and its date."
- Naming the old contact. Karen appears most in the thread, and the AI may still call her the champion. Try: Add: "Karen left. Denise Park is the main contact now."
- Passing on the gossip. The AI keeps personal details to sound thorough. Try: Add: "Leave out personal details and gossip."
- Not limiting the bullets. The AI writes a full account history with headings. Try: Be exact: "At most 4 bullets, plain text."
- Trusting the AI to count words. AI is bad at counting. Ask for "under 80 words" and it often lands well over. Try: Cap each part instead: "each line under 14 words."
What a strong prompt includes
- Limits the bullets
- Says who it's for
- Puts the next step first
- Names the current contact
- Skips the gossip
