Write a client-facing QBR agenda without internal notes

Practice: Saying who it's for. About 5 minutes.

About this exercise

You're the account manager sending a quarterly business review agenda to your client, Dalton Freight. You want exactly 5 numbered items with minutes, adding up to 45, with the client's top concern first, under 70 words, plain text. The agenda goes to the client, so nothing from your internal notes about upsell targets or their budget can appear. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Not saying who reads it. The AI blends your internal goals into the agenda, including the upsell. Try: Add: "This goes to the client. Leave out everything marked internal."
  • Ignoring the client's priority. The AI follows your list order, so the client's #1 issue lands in the middle. Try: Add: "Put Renee's top concern, the alert delays, first."
  • No time math. The AI leaves minutes off or they add up to an hour. Try: Add: "Minutes on every item, adding up to exactly 45."
  • Letting the AI pick the layout. The AI writes a long agenda with bold headings and talking points. Try: Be exact: "Exactly 5 numbered items, one line each. Plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 70 words" and it often lands well over. Try: Cap each part instead: "each line under 9 words."

What a strong prompt includes

  • Says how many items
  • Says the client reads it
  • Hides internal notes
  • Puts their concern first
  • Sets the time math
