About this exercise

You're secretary of the Outdoor Club and the AI notetaker drafted minutes. Using the transcript, write the official motions as exactly 3 numbered lines, each 'Motion: ... | Vote: yes-no | Result: CARRIED or DEFEATED', in capitals as your club's bylaws require. A motion carries only with more yes than no votes. Plain text, under 80 words.

Common mistakes when you ask AI for this

  • Copying the draft's vote. The draft says the dues passed 7-5, and the AI keeps it. Try: Add: "Use the transcript's counts; the draft may be wrong."
  • Flipped counts. The AI writes no-yes instead of yes-no, which reverses the meaning. Try: Add: "Write votes as yes-no."
  • Missing the format. The AI writes paragraph minutes with attendance and discussion. Try: Show it: "1. Motion: ... | Vote: 10-2 | Result: CARRIED"
  • Markdown minutes. The AI uses headings and bold for each motion. Try: Add: "Plain text, no bold."
  • Trusting the AI to count words. AI is bad at counting words, so a total word cap usually lands over. Try: Cap each line: "each line under 15 words."

What a strong prompt includes

  • Checks the transcript
  • Sets the vote order
  • Uses the bylaw words
  • Says the pass rule
  • Caps the length
