Confirm project scope after a call, not the notetaker's version

About this exercise

Send the client a scope confirmation after your kickoff call. Start with 'Subject:', then exactly 4 numbered in-scope items, then one line starting 'Not included:' listing what was ruled out, and sign off as Priya. Check the notetaker against the transcript, since it got the revision rounds wrong. Plain text, under 110 words.

Common mistakes when you ask AI for this

  • Trusting the notetaker. The summary says 3 revision rounds and includes the website. Try: Add: "The transcript wins: 2 revision rounds, no website."
  • Not saying what's out. The AI lists only what's in scope, which invites scope creep later. Try: Add: "Add a 'Not included:' line for the website and social templates."
  • No subject or sign-off. The AI starts with 'Hi Owen' and adds a placeholder signature. Try: Add: "Start with 'Subject:' and sign off as Priya."
  • Markdown email. The AI bolds headings like 'Scope' and 'Timeline'. Try: Add: "Plain text, 4 numbered items."
  • Trusting the AI to count words. AI is bad at counting words, so a total word cap usually lands over. Try: Cap each part: "each item under 10 words."

What a strong prompt includes

  • Checks the transcript
  • Fixes the revision count
  • Lists what's excluded
  • Asks for a subject line
  • Caps the length
