Fill CRM fields from a call without the notetaker's errors
- For Sales and customer success
- You practice Catching mistakes and made-up facts
- Time about 5 minutes
About this exercise
Log yesterday's discovery call in the CRM. Write exactly 5 numbered lines labeled Stage, Budget, Decision maker, Next step, Risk. The notetaker summary got two facts wrong, so check every field against the transcript. Plain text, under 80 words.
Common mistakes when you ask AI for this
- Trusting the notetaker. The summary says 'approved' and 'Mia decides', and the AI copies both. Try: Add: "Check each field against the transcript; it wins."
- Missing the competitor. The AI skips RouteHawk because the notetaker didn't mention it. Try: Add: "Risk: anything in the transcript that could lose the deal."
- Free-form notes. The AI writes a paragraph instead of the fields you need. Try: Say: "Exactly 5 numbered lines: Stage, Budget, Decision maker, Next step, Risk."
- Markdown formatting. The AI bolds the labels, which looks messy in the CRM. Try: Add: "Plain text, no bold."
- Trusting the AI to count words. AI is bad at counting words, so a total word cap usually lands over. Try: Cap each line: "each line under 14 words."
What a strong prompt includes
- Checks the transcript
- Names the fields
- Asks about risk
- Sets the line count
- Caps the length
