Answer three data-export questions from the policy only
- For Customer success managers
- You practice Keeping the AI to your sources
- Time about 5 minutes
- Level Beginner
About this exercise
Answer the customer's three questions in three lines labeled A1:, A2: and A3:, each under 25 words. Use only the policy. If the policy does not say, write "I will check with our security team" for that answer. No greeting, no sign-off, plain text.
Common mistakes when you ask AI for this
- Using the old 60 days. The AI picks up the earlier version mentioned in the policy. Try: Say: "Use the current policy: 30 days."
- Making up a backup answer. The AI invents a deletion period. Try: Say: "If the policy does not say, write I will check with our security team."
- Adding a greeting and sign-off. The AI wraps answers in a friendly email. Try: Say: "Three lines only: A1:, A2:, A3:. No greeting or sign-off."
- Getting markdown back. AI adds bold and headings by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
- Trusting the AI to count words. The AI runs long and cannot count its own words. Try: Cap each part ("each line under 12 words") and add "under N words in total".
What a strong prompt includes
- Sets the line labels
- Limits to the policy
- Gives the fallback phrase
- Caps each answer
- Asks for plain text
- Sets a word cap
