Decide which dashboard metrics to remove using a two-part rule
- For Managers and team leads
- You practice Setting limits and rules
- Time about 5 minutes
- Level Intermediate
About this exercise
Your team is cleaning up a cluttered dashboard. Write exactly 4 plain-text lines, one per metric, in the form 'Metric: Keep - reason' or 'Metric: Remove - reason', each reason under 12 words, under 70 words in all. Remove a metric only when it was used in 1 or fewer decisions last quarter AND its data quality is red. Otherwise keep it.
Common mistakes when you ask AI for this
- Removing on one condition. The AI removes page views because nobody used it. Try: Add: "Remove only if used 1 or fewer times AND quality is red."
- Keeping a red metric with 1 use. The AI keeps bounce rate because it informed a decision. Try: Add: "1 decision still counts as 1 or fewer."
- Vague reasons. The AI says 'not useful' or 'important'. Try: Add: "Each reason has the numbers, like 0 decisions, red."
- Leaving the format to chance. The AI picks its own length and layout unless told the exact shape. Try: Add: "Plain text, no bold or headings."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example "each line under 15 words."
What a strong prompt includes
- States the rule
- Names the four metrics
- Gives the line shape
- Asks for reasons with numbers
- Rules out extras
