About this exercise

Fill this intake template from the manager's message in plain text with these labels in order: Reported by:, Date reported:, What the reporter said:, Dates and places mentioned:, People mentioned:, Not stated:, Suggested next step:. Under 150 words. Use neutral wording: no words like harassed, bullied, guilty or liar, and no conclusion about what happened. Suggested next step is always: Send to HR for review. HR reviews before any action.

Common mistakes when you ask AI for this

  • Loaded words. The AI writes 'harassment complaint'. Try: Say: "Neutral wording only; no conclusion."
  • Including opinions. The AI repeats 'great guy, misunderstanding'. Try: Say: "Include only facts, not the manager's opinion."
  • Missing unknowns. The AI fills the template with guesses. Try: Say: "Use a Not stated: field for what is unknown."
  • Changed next step. The AI advises what to do. Try: Say: "Suggested next step is always: Send to HR for review."
  • Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 15 words."
  • Markdown. The AI bolds words or adds headings. Try: Say: "Plain text, no bold, no headings."
