About this exercise
Write a prompt for a meeting agenda that fits exactly 30 minutes. Give four agenda lines like "0:00-0:05 Topic (owner)" in the order Safety, KPIs, Peak staffing, Dock repairs, using the minutes requested. Then one last line starting "Parking lot:" for the topic that moves to email. Plain text, under 70 words.
Common mistakes when you ask AI for this
- Time ranges that don't add up. The AI leaves gaps or ends at 0:40. Try: Say: "Ranges run without gaps and end at 0:30."
- Keeping the fifth topic. The AI squeezes the forklift quote in or drops it silently. Try: Say: "Last line: Parking lot: the forklift battery quote, by email."
- Missing owners. The AI lists topics without owners. Try: Say: "Put the owner in parentheses on each line."
- Getting markdown back. AI adds bold, headings and bullets by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
- Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".
What a strong prompt includes
- Gives the topic order
- Gives the line format
- Sets the end time
- Names the parking lot
- Asks for plain text
