Pull confirmed action items from messy meeting notes into a table
- For Project managers
- You practice Keeping the AI to your sources
- Time about 5 minutes
- Level Intermediate
About this exercise
Write a prompt for a markdown table with columns Owner, Action and Due that lists only actions where the notes give both an owner and a due time. After the table add one line starting "No clear owner or date:" listing the items that lack one. Decisions are not actions. Under 100 words.
Common mistakes when you ask AI for this
- Listing vague items as actions. The AI includes the dock door quote and the overtime review with a guessed owner. Try: Say: "Include a row only if the notes give both a named owner and a due time."
- Treating decisions as actions. The AI lists moving the lunch. Try: Say: "Decisions are not actions."
- No unassigned line. The AI drops the vague items entirely. Try: Say: "After the table, one line: No clear owner or date: ..."
- Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".
What a strong prompt includes
- Names the table columns
- Requires owner and due
- Excludes decisions
- Asks for the unassigned line
- Sets a length limit
