About this exercise

Your champion at Hollis Property Group left, and Yvonne Clarke now owns your renewal (due Feb 1). Write her an intro email under 120 words that cites 3 numbers from their usage report and offers a 30-minute walkthrough. Don't mention the old champion's complaints, and don't mention a discount, which nobody has asked for. Start with "Hi Yvonne,". Plain text, with no subject line.

Common mistakes when you ask AI for this

  • Bringing up old problems. The AI sees Derek's complaints and apologizes for them, planting doubts in a new reader. Try: Add: "Don't mention Derek's complaints."
  • Leading with a discount. Your manager's idea is in the notes, so the AI may offer 10% off unprompted. Try: Add: "No discount; nobody has asked about price."
  • Generic value talk. The AI says "we've delivered great results" without the numbers. Try: Add: "Cite 3 numbers from the usage report."
  • Wrong greeting. The AI opens with "Dear Ms. Clarke" or a pleasantry. Try: Add: "Start with: Hi Yvonne,"
  • Trusting the AI to count words. AI is bad at counting and runs long when you only give a total like 120 words. Try: Cap each part instead, like "each paragraph under 30 words," so the total lands well under 120.

What a strong prompt includes

  • Says who the reader is
  • Uses the numbers
  • Leaves out the past
  • Rules out a discount
