Turn cutover notes into a six-line weekend checklist

  • For Customer success managers
  • You practice Asking for a format you can use
  • Time about 5 minutes
  • Level Beginner

About this exercise

Write the cutover checklist for Priya, the customer admin. Exactly 6 lines, each starting with "- [ ]", then the owner in brackets as [Priya] or [Us], then the step and its day and time. Put the steps in time order and leave out any step that was cancelled. Plain text, with nothing before or after the list.

Common mistakes when you ask AI for this

  • Listing the cancelled step. The AI includes everything in the notes, even the cancelled dry run. Try: Say: "Leave out any step that was cancelled."
  • Using the old sync time. The AI reads the Saturday 6pm line and misses the update. Try: Say: "Use the latest time; the email sync is Mon 8am."
  • Skipping owners. The AI writes steps without saying who does them. Try: Say: "Start each line with - [ ] then [Priya] or [Us]."
  • Getting markdown back. AI adds bold and headings by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
  • Leaving the bullet count open. The AI keeps adding bullets until every detail is covered. Try: Name the cap: "at most N bullets, nothing else".

What a strong prompt includes

  • Gives the line format
  • Says to drop cancelled steps
  • Fixes the line count
  • Asks for time order
  • Asks for plain text
  • Caps the bullets
