Write a vacation-coverage note with three fixed-field lines

  • For Customer success managers
  • You practice Asking for a format you can use
  • Time about 5 minutes
  • Level Intermediate

About this exercise

Write the coverage note for Omar. Exactly 3 numbered lines, one per account, formatted "1. Account: Status | Watch for | Contact". Use the latest contact details. Write "not provided" for anything missing. Plain text, under 90 words.

Common mistakes when you ask AI for this

  • Using the dead number. The AI copies the first number for Ravi. Try: Say: "Use the latest contact details: 555-0130."
  • Inventing a phone number. The AI makes up Bea's number. Try: Say: "Write not provided for anything missing."
  • Changing the format. The AI writes sentences or tables. Try: Say: "Format: 1. Account: Status | Watch for | Contact."
  • Getting markdown back. AI adds bold and headings by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
  • Leaving the item count open. The AI adds or drops items to feel complete. Try: Say "exactly N numbered lines, nothing else".
  • Trusting the AI to count words. The AI runs long and cannot count its own words. Try: Cap each part ("each line under 12 words") and add "under N words in total".
  • Leaving a requirement unstated. The AI follows its own defaults unless the prompt spells this out. Try: State it plainly in your prompt: Rosewood shows Green, training Dec 3 and Dr. Amit Rao 555-0161; Hollis shows Yellow, ticket #5210 and the quote due Dec 10; Quill shows Green and Ravi Okafor.

What a strong prompt includes

  • Gives the line format
  • Latest details win
  • Handles missing data
  • Fixes the count
  • Asks for plain text
  • Sets the exact item count
  • Sets a word cap
