Write a short call script for a partial shipment with a billing gap
- For Operations and supply chain
- You practice Saying who it's for
- Time about 5 minutes
- Level Beginner
About this exercise
Pallets arrived short and the invoice still bills the full order. Write a prompt for a call script to the vendor rep with exactly four lines starting "Opening:", "Facts:", "Ask:" and "Close:". Stay polite. Do not threaten to withhold payment, and do not promise what we will do about the invoice; just ask. Plain text, under 100 words.
Common mistakes when you ask AI for this
- Threatening payment. The AI adds that payment will wait until it is fixed. Try: Say: "Do not threaten to withhold payment; only ask."
- Vague facts. The AI says 'some pallets are missing'. Try: Say: "Facts: ordered 12, billed 12, received 9 on Mar 12."
- Narrative script. The AI writes a long dialogue. Try: Name the four labels and cap each line.
- Getting markdown back. AI adds bold, headings and bullets by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
- Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".
What a strong prompt includes
- Names the four lines
- Gives the facts
- Asks about shipping and the invoice
- Rules out threats
- Asks for plain text
