About this exercise
Write a prompt for plain text with exactly six lines: "T-1:", "T-2:", "T-3:", "T-4:", "Total:" and "Invoice check:". Each trailer line shows time on site, time over the free period, billable hours rounded up, and the charge. Use the gate log times. The Invoice check line compares your total with the carrier's invoice and says AP decides whether to dispute. Under 130 words.
Common mistakes when you ask AI for this
- Using the driver's note. The AI bills T-4 for 1 hour. Try: Say: "Use gate log times only."
- Not rounding partial hours. The AI bills 1.5 hours or 2.33 hours. Try: Say: "Any started hour is billed as a full hour."
- Disputing for AP. The AI tells AP to reject the invoice. Try: Say: "AP decides whether to dispute."
- Wrong lines. The AI writes a table. Try: Quote the six labels.
- Markdown extras and long output. AI adds bold, headings and bullets by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings" and cap each line, for example "each line under 15 words".
What a strong prompt includes
- Quotes the labels
- States the free time and rate
- Rounds partial hours up
- Uses the gate log
- Asks for plain text
