About this exercise

Write a prompt for a summary addressed to Nora Whitfield, the operations director. Start with "Nora,", open with the overtime number, then cover the other metrics that missed target. Compare on-time-in-full only like-for-like, and say that the definition changed. End with exactly one question asking her to decide something. Plain text, under 110 words.

Common mistakes when you ask AI for this

  • Comparing OTIF across methods. The AI says OTIF rose 4 points from 88% to 92%. Try: Say: "Compare OTIF like-for-like and note the definition changed."
  • Leading with good news. The AI opens with safety or OTIF. Try: Say: "Start with Nora, then open with the overtime number against budget."
  • Missing the ask. The AI ends with a general closing line. Try: Say: "End with one question asking her to decide on weekend overtime."
  • Getting markdown back. AI adds bold, headings and bullets by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
  • Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".

What a strong prompt includes

  • Names the reader
  • Says what to open with
  • Handles the OTIF change
  • Ends with one question
  • Asks for plain text
