About this exercise

Tomas Reinholt chairs the risk committee and has two minutes. Write a prompt for a plain-text summary with four lines starting What happened:, Why it happened:, What we are doing:, Open for the privacy lead:. Under 150 words. Name no individuals. Give the cause as the process gaps in the notes, not "operator error". The privacy lead has not decided whether anyone must be notified, so state it as open.

Common mistakes when you ask AI for this

  • Blaming the analyst. AI repeats 'operator error' from the draft. Try: Say: "Give the cause as process gaps; do not write operator error; name no one."
  • Actions without owners. AI lists generic improvements. Try: Say: "Both actions with owner and due date."
  • Deciding on notification. AI says customers must or need not be notified. Try: Say: "Say the privacy lead's assessment is open with no decision yet."
  • Getting markdown back. AI adds bold, headings and bullets by default, which show up as stray symbols when pasted. Try: Say "plain text, no bold, no headings, no asterisks".
  • Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".
